Sharpe CPA / For club treasurers
A free portal for service clubs and other nonprofit organizations. I have been in Rotary and Kiwanis since 1993, and the treasurer's function is a problem in every club: the books live in one person's spreadsheet, and the next treasurer starts over. This keeps them with the club.
What it does
Every receipt, check and transfer, by bank account and by fund, so dues and charitable money stay apart. A running balance, and a reconciliation to each bank statement that will not close until it agrees.
A calendar of meetings. For each one: what each member gave, what was counted afterwards, what reached the bank, and the checks written. The three have to agree before the meeting shows as reconciled.
A budget for each fiscal year, adopted by the board, with every check posted against its line. A line that is over, or being spent with no budget, is flagged.
Each event with what it brought in, what it cost and what it netted against its goal, and a note for next year's chair.
The roster with each member's giving for the year, and the officers and directors recorded by fiscal year.
The purpose of the organization, its articles, bylaws and IRS determination letter on file. What is due to the IRS and the state for each year, when, and a worksheet with the figures.
Who it is for
Service clubs, their foundations, booster clubs, lodges, parent groups, churches and other nonprofit organizations. Ask for an account, tell me the organization's name and EIN, and once I have confirmed its exempt status I set it up and give the treasurer a sign-in. There is no charge and no card.
The treasurer keeps the books. The president or an audit committee can have a look-only sign-in. When the office changes hands, the new treasurer gets a sign-in and everything is already there.
The state filing calendar covers California. The federal filings apply everywhere. The portal lists what is normally due and supplies the figures; the filing itself is made on each agency's own website, and the treasurer and the board remain responsible for the club's records and filings. See the terms of use.
